--- title: Group Management description: Create enterprise public groups and personal private groups, then use them to select recipients and configure access when sharing files or adding project members. slug: group-management lang: en category: Product Features category_order: 2 order: 12 keywords: - Enterprise groups - Personal groups - Enterprise public groups - Personal private groups - My Groups - Sharing permissions - Project members --- # Group Management Groups organize people who frequently collaborate into reusable member lists. When sharing a file or folder, or adding members to a project, select a group and configure access instead of finding and adding each person separately. For example, create a “Design Review” group for sharing successive design drafts, or a “Project Delivery” group for adding the same collaborators to several projects. A group identifies the people; the permission assigned in each share or project determines whether they can view, download or edit its files. ## Enterprise and personal groups {#group-types} | Type | Creation and management entry | Typical use | | --- | --- | --- | | Enterprise public group | An authorized administrator opens Group Management in the enterprise console | Member lists maintained for enterprise collaboration | | Personal private group | A member opens Settings > Group Management and creates a group under Personal Private Groups | Frequently used personal collaboration lists | “Enterprise public” and “personal private” describe group types, not the visibility of files. Creating a group does not share any file: select it in a share or project and assign the appropriate access. ![Enterprise public groups and personal private groups in Settings](../../assets/images/groups-settings.png) *Group Management lists both group types. Screenshots show the Chinese interface; available management controls depend on account permissions. English labels below explain the corresponding Chinese controls.* ## Create an enterprise public group {#create-enterprise-group} 1. With an authorized account, open the enterprise console and select **Group Management (分组管理)** in the sidebar. 2. Click **Add Group (添加分组)** at the top right and enter a descriptive **Group Name (分组名)**. 3. Search by nickname, email, phone number or group name, or choose **Add from Enterprise Members (从企业成员列表中添加)**. Check the selected people. 4. Click **Confirm (确定)**. Find the saved group in the list and check its member count. Use **Edit (编辑)** on that row to make changes. ![Add Group dialog in the enterprise console](../../assets/images/groups-enterprise-create.png) *Enter a name, select people and confirm. Check the member count and contents after saving.* ## Create a personal private group {#create-personal-group} 1. Open your own **Settings > Group Management (设置 > 分组管理)**. 2. Click **New Group (新建分组)** in the **Personal Private Groups (个人私有分组)** section. Check that you are using the personal section. 3. Enter a name and add people through search or the enterprise member list. 4. Confirm, then check that the new group appears under Personal Private Groups. For example, put frequent reviewers into a “Design Review” group, then find it later under My Groups. If names are similar, check the group type and its members before selecting one. ## Share files with a group {#share-with-group} 1. Select a file or folder, open its sharing window and choose **Invite Share (邀请分享)**. 2. Search by group name, or select **Add from enterprise members or groups (从企业成员列表或者分组中添加)** and open **My Groups (我的分组)**. 3. Expand **Enterprise Public Groups (企业公共分组)** or **Personal Groups (个人分组)**, choose a group and check the permission for this share. 4. In the invited-recipient list, check the group name, permission and **Expiration Date (截止日期)**. To change that group's access to this file, update the corresponding group row. ![My Groups in the invitation-sharing window](../../assets/images/groups-share-picker.png) *My Groups provides enterprise and personal groups. The permission selector applies to this share.* ![Group permission and expiration in the invited-recipient list](../../assets/images/groups-share-permissions.png) *The list shows the group as the recipient, with its permission and expiration. The name and permission shown are examples.* Use an intended member's account to check access and whether viewing, downloading and editing match your intention. That person may also have access through a department, project or another share; a single share entry does not describe all of their permissions. ## Add project members from a group {#project-group} 1. An authorized project manager opens member management and the **Select Project Members (选择项目成员)** window. 2. Search by group name or open **My Groups (我的分组)** in the expanded selection area. 3. Choose an enterprise public group or personal group, check the permission for this project and click **Confirm (确定)**. 4. Return to the project member list to verify the result, then check project access with an intended member's account. ![My Groups in the Select Project Members window](../../assets/images/groups-project-picker.png) *Choose collaborators through My Groups and assign the permission for this project.* ## Membership changes and effective access {#membership-access} **Access changes take effect immediately when group members are added or removed.** A new member gains the access already assigned to the group. A removed member no longer receives access through that group. You do not need to repeat the membership change separately in every file share or project associated with the group. A person may still have access through a department, another project, another group or an individual invitation. Removing someone from one group therefore does not necessarily remove all access to the same file. Check other permission sources when revoking all access, and verify the result with an affected member's account. ## FAQ ### Where do I create enterprise and personal groups? {#faq-create-group} Authorized administrators add enterprise public groups through Group Management in the enterprise console. Members create personal private groups under Settings > Group Management > Personal Private Groups > New Group. Both types can be used for sharing files and adding project members. Follow the illustrated steps on this page. ### How do groups differ from departments and projects? {#faq-group-department-project} Departments represent organizational relationships and manage department files. Projects organize people and files around a task. Groups are reusable lists of collaborators. Create a group when the same people need access to multiple files or projects, then configure access for each share or project. ### How do I share a file with a whole group? {#faq-share-group} Open Invite Share for the file or folder, then choose Add from enterprise members or groups > My Groups. Select an enterprise public group or a personal group, and check its name, permission and expiration in the recipient list. See [Share files with a group](#share-with-group). ### Can I use a personal group when adding project members? {#faq-project-group} Yes. Open My Groups in Select Project Members, expand Personal Groups, select the intended group and confirm the project permission. Enterprise public groups are available through the same entry. ### Does creating a group give its members access to my files? {#faq-group-access} Creating a group is not a file-sharing action. Use the group in the target file's invitation-sharing settings or in project membership, and check the permission and expiration assigned there. “Public” in the group type does not make files publicly accessible. ### When do access changes take effect after adding or removing group members? {#faq-membership-access} Immediately. New members gain access already assigned to the group, and removed members no longer receive access through it. If someone can still access a file after removal, check permissions from departments, other projects, other groups or individual invitations. Removing one group membership does not revoke access granted through other sources. ## Related features - [Sharing and External Delivery](file-sharing.md) - [Project Collaboration](project-collaboration.md) - [Departments and Organization](department-management.md) - [Permission system](permissions.md) - [Enterprise Console](admin-console.md)
